Data Deletion Policy

🗑️ Introduction

At Satpuda College of Engineering & Polytechnic, we respect your right to control your personal data. Users of the SCEP Bus Tracking Application may request complete deletion of their account and all associated personal data at any time.

This page explains what data will be deleted, what may be retained for legal compliance, and how to submit a deletion request.

❌ What Gets Deleted

Upon successful processing of your deletion request, the following data will be permanently removed from our systems:

• Personal Information: Full name, email address, and phone number
• Authentication Data: Login credentials, authentication tokens, and session data
• Bus Pass Records: Digital bus pass details, route assignments, and pass history
• Profile Information: Student/staff details, department, year, designation, and profile photo
• Notification Tokens: FCM tokens and notification preferences
• Activity Logs: App usage history, location history, and tracking data

Once deleted, this data cannot be recovered. You will need to create a new account if you wish to use the service again in the future.

📂 What May Be Retained

In compliance with Indian legal requirements, the following information may be retained even after account deletion:

• Compliance Records: Any data required to be retained by applicable Indian laws, court orders, or regulatory requirements
• Audit Logs: System access logs and administrative records for security purposes

Retained data is stored securely and accessed only for legal, regulatory, or audit purposes. It is not used for marketing, profiling, or any other purpose.

📧 How to Request Data Deletion

To request deletion of your account and personal data, please send an email to our support team with the following details:

Email Subject Line: Account Deletion Request

Include the following information in your email:

• Full Name: Your complete name as registered in the app
• Registered Email: The email address associated with your account
• Phone Number: The phone number linked to your account
• Reason (Optional): You may optionally share why you are requesting deletion to help us improve our services

Please send the request from the same email address that is registered with your account for identity verification purposes.

⏱️ Processing Time

Your data deletion request will be processed as follows:

• Verification: Our team will verify your identity to prevent unauthorized deletion requests. This may involve confirming details from your registered email
• Review Period: Requests are reviewed within 2-3 business days of receipt
• Processing: Once verified, data deletion is completed within 7-15 business days
• Total Timeline: The entire process from request to completion takes approximately 7-15 business days

During the processing period, your account may be temporarily deactivated to prevent new data from being generated.

✅ Deletion Confirmation

Once your data has been successfully deleted from our systems, you will receive a confirmation email at your registered email address. This confirmation will include:

• Deletion Date: The date on which your data was permanently removed
• Scope: A summary of what data was deleted
• Retained Data: Information about any records retained for legal compliance (if applicable)
• Reference Number: A deletion reference number for your records

If you do not receive a confirmation email within 15 business days of your request, please contact us again at support@satpudaengineeringcollege.com for a status update.
